Job Description:

To provide full support to the GM and direct reports to the GM across all business activities and support them with day to day operations, leadership team coordination and longer-term business planning activities.

Accountabilities:


Provide independent and fully comprehensive office support and coordination within a fast changing and growing global manufacturing environment.
Maximize efficiency by using judgment to manage and coordinate the flow of work for multiple managers. This includes, but not limited to managing the GM’s diary effectively, providing pro-active support using judgment to track actions, track deadlines and manage documents, including the organizational chart, composing emails/letters for manager’s signature; using own judgment to redirect action items/queries without referral; identify from correspondence and contacts, events or issues that require attention of manager(s).
Develop and maintain a broad understanding of the business activities and objectives, so that you can provide informed information.
Provide support for scheduling meetings, logistics, domestic and international travel and ensure passport and/or visas remain current, renewed or processed and expense reporting for the GM.
Manage SharePoint as site administrator of Manufacturing Support Americas and share best practices with other SharePoint site owners.
May attend the Mfg. Support Americas leadership team mtgs with note taking. Developing and managing the Sharepoint content.
Staff onboarding and offboarding handling all logistics and JML tickets via ServiceNow.
Accountable for processing invoices.

The role is challenging in terms of content and time, can be highly confidential and necessitating interaction with senior group wide management and external parties within a highly dynamic and global working environment. Team work, accuracy, service orientation and a pro-active and highly professional attitude qualify as essentials for this job. The ability to work under pressure and coping with last minute changes are also essential.

Requirements:


Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
High School Diploma / GED required.
Minimum five (5) years of substantial experience as an Administrative Assistant.
Proficient in MS Office applications and ability to quickly gain competence in other IT software required.
Fluency in English is required.
Able to multi-task and manage high workload.
Restricted/sensitive information to be treated with a high degree of confidentially; Professional, flexible and pro-active attitude.
A high level of interpersonal skills and team working, able to communicate effectively with all levels including senior management.
PC literacy; Experienced in Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence and events; GSAP knowledge.
Manage office workflow independently.
Advanced knowledge of Sharepoint preferred and handling all ServiceNow tickets for IM Services in developing new sub-sites, moving content, etc..
